New Organization and Roles: Co-Chairs & Family Cluster Leaders

There will be up to 15 members of the PAM program with the designation of Co-Chair.

Each pair of Co-Chairs will share responsibilities with the exception of the Family Chair Leader that will have individual responsibilities.

Co-Chair Positions: Communications Chair, Academic Chair, Social Chair, Community Service Chair, Social Media Chair, Family Chair Leader

  • Communications Chairs
    • Welcome email in September and January
    • Email reminders for all events & evaluations
    • Work closely with other Co-Chairs to share progress, invitations, etc., focus on Social Media Chairs to coordinate information flow
    • Work with staff to ensure dates and information are correct on emails
  • Social Media Chairs
    • Photos of PAM events – store in PAM Collaboration folder in Box
    • Maintain presence on PAM Facebook, Instagram, and create GroupMe for the year
    • Work in conjunction with Communication Chairs to mirror/share information across platforms
  • Community Service Chairs
    • Community Service Events
    • PAM Co-chairs take the leadership roles in working with all Family Cluster Co-chairs and executing community service activities
      • Plan events: TOTS and Boys & Girls Club
      • Including attending all CSI Trick or Treat Street Meetings for Coordination
        • Communicate information to director/associate director
      • Use Google docs (or other media) to get folks signed up to work the events
        • Communicate roles and responsibilities for events
        • Assign different responsibilities to clusters and/or individual members
    • Work with staff to budget and coordinate supplies, food, etc.
    • Work with Family Cluster Leaders and other Co-Chairs to ensure mentee/mentor engagement at events
    • Work with staff at all events to ensure attendance is recorded
  • Social Chairs
    • Induction Gathering
      • Welcome and introduce co-chairs
      • Interactive/ice breaker activities – Circle Commonality, etc.
      • Induction pledge
    • Team Building Exercises & Activities
      • Organize icebreaker & other activities in conjunction with staff
    • Game Night
      • Plan interactive activities/games
      • Purchase or attain (Wellness & Recreation Center) items needed e.g., S’mores, volleyball, Frisbee, etc.
    • End- of-Year Celebration
      • Coordinate with staff and help ensure Family Cluster participation
      • Give remarks
      • Plan and execute a PowerPoint presentation at end of year dinner
    • Work with staff to budget and coordinate supplies, food, etc.
    • Work with Family Cluster Leaders and other Co-Chairs to ensure mentee/mentor engagement at events
    • Work with staff at all events to ensure attendance is recorded
  • Academic Chairs
    • Promote and advertise academic and leadership events that are happening on campus
      • Also include workshops, retreats, conferences and leadership opportunities for students that are offered by student and university organizations
    • Work closely with the Communication & Social Media Chairs to ensure that events are advertised well in advance of the event date
    • Organize PAM Spring Leadership Social
      • Coordinate and ensure Co-Chair & Family Cluster Leader participation
  • Family Chair Leaders
    • Ensure Family Cluster Leaders are responsible for planning and executing 2 family cluster events each semester
    • Work closely with Family Cluster Leaders and mentors to facilitate relationships and integration of mentees
    • Fill in as needed for Mentors who become overwhelmed or circumstances change for them and they need assistance
    • Family Chair Leaders’ descriptive document is located in Box
  • Family Cluster Leaders

    Family Cluster Leaders will mentor all mentor-mentee pairings within their cluster and ensure mentors & mentees attend events and community service activities

    • Ensure 2 Family Cluster events/activities are planned and funds requested (fund request form)
      • Utilize program credit cards appropriately and ensure itemized receipts are sent to staff
    • Communicate with cluster and encourage attendance at all events
    • Support Mentor/Mentee pairings to ensure integration into the community
    • Work with Family Chair Leaders when challenges arise
